An LPG counter that knows a refill from a deposit

With the LPG kit on, every till in your shop becomes an LPG counter. A refill charges only the gas and puts the empty back in your stock by itself. A new cylinder takes a refundable deposit that stays out of your sales and your tax, with a printed slip for the customer to keep. One rate per kg sets every refill price, and the Cylinders page shows how many you have filled, empty, at the plant and out with customers.

What the kit does

Built around cylinders, not just sales

  • Refills put the empty back by themselves

Pick Refill (swap), tap the size and charge. The customer pays only for the gas, and the empty they hand over goes back into your stock without anyone writing it down.

  • Deposits stay deposits

A new cylinder without an empty takes a refundable deposit. It carries no tax, never counts in your sales, and prints a deposit slip the customer keeps. Giving it back always needs a manager’s PIN.

  • One rate prices every size

When OGRA notifies a new price, change your rate per kg once. Every size re-prices on every till, the storefront and WhatsApp orders — with the month’s OGRA notified price shown beside yours.

  • Every cylinder accounted for

The Cylinders page counts what you own: filled, empty, at the filling plant and with customers on deposit. Send empties to the plant when the truck leaves; receive filled when it comes back.

  • Net gas on the receipt

Type the gross weight from the scale: the counter takes off the tare, shows the net gas and prints it on the receipt. OGRA-licensed filling points also get Fill by kg, by rupees or by kilo.

  • Refills carry on offline

When the internet drops, refills, cylinder sales and fills keep working and are sent the moment the connection is back. Deposits and deposit returns wait for the internet — their buttons say so.

The LPG kit is switched on for your shop by POS Line support.

Running the LPG counter

Everything your counter does in one place: refills, new cylinders on deposit, fills by kilo, deposit returns, today’s rate and your cylinder stock. Keep this open on the first few days — after that the screen explains itself.

How prices workRate × kgRs 270/kg × 11.8 kg = Rs 3,186

Before your first sale

Owner or manager, about 10 minutes

The LPG kit is switched on for your shop by POS Line support. When it is on, your POS turns into the LPG counter on every till, and that screen stays locked while the kit is on — nobody can switch the till to another style by mistake.

  1. Open Store → Settings → LPG kit. The first time, a short setup appears.
  2. Tick the sizes you sell — 6 kg, 11.8 kg, 15 kg, 45.4 kg — or add your own size.
  3. For each size, type the deposit a customer pays for a cylinder they take without giving an empty (for example Rs 10,500 for 11.8 kg), and the cylinder price if you also sell cylinders outright.
  4. Check the starting rate. It comes filled in from this month’s OGRA notified price; change it to your own selling rate if you charge more for delivery and handling.
  5. Keep or edit the accessories pack — Regulator, Pipe 1.5 m, Single stove, Clamp pair — then finish the setup.
  6. After setup, the same page holds your OGRA licence numbers, the tare (empty weight) of each size, and reorder levels — the number of filled cylinders at which a size turns red.

Type your dealer licence number: it prints at the top of every receipt as “OGRA licence …”. Leave a field empty and that line simply doesn’t print.

  • 2Size tiles. Today’s price, how many filled and empty you have, and “×2 in cart” once added. A red filled count means that size is low.
  • 3Weight check (optional). Type the gross weight from the scale; the screen takes off the tare and shows the net gas. It prints on the receipt.
  • 4Accessories. One tap adds a regulator, pipe, stove or clamp.
  • 5The order. Each line shows its job — “Swap · empty in”, “New · deposit” — and the weight. Add the customer here.
  • 6Charge. When a deposit is due it reads “Charge Rs 3,186 + deposit Rs 10,500”.
  • 7Today at the counter. Refills, new cylinders on deposit, deposits returned and empties received so far today.

Refill (swap)

The customer hands over an empty and takes a filled one. You charge only the gas. The empty goes into your stock by itself.

  1. Make sure Refill (swap) is selected at the top.
  2. Take the customer’s empty and check it is the same size.
  3. Tap the size tile. Tap again for a second cylinder, or use + on the order line.
  4. Optional: put the filled cylinder on the scale and type the gross kg in Weight check. A green tick means the net gas is within 1% of the rated weight.
  5. Add accessories if needed, then Charge and take payment as usual.

Cashier · needs a customer

New cylinder + deposit

The customer takes a filled cylinder and gives no empty. You charge the gas now and take a refundable deposit for the cylinder. The deposit is not a sale: it carries no tax and does not count in your sales figures — it is money you hold until the cylinder comes back.

New + deposit mode: the customer Ahmed Raza holds 2 cylinders, will hold 3 after this sale; the Charge button reads Charge Rs 3,186 + deposit Rs 10,500.
The amber card shows the deposit that comes next.
The Collect deposit sheet after payment: Rs 10,500 for one 11.8 kg cylinder, paid by cash, change Rs 500, prints deposit slip DEP-0929-003.
Right after payment: collect the deposit and print the slip.
  1. Select New + deposit.
  2. Add the customer (name and phone) in the order panel. A deposit always needs a name — it is how the money finds its way back.
  3. Tap the size. The screen shows what the customer already holds and what they will hold after this sale.
  4. Press Charge Rs … + deposit Rs … and take payment for the gas.
  5. The Collect deposit sheet opens. Choose how the deposit was paid — Cash, JazzCash, Easypaisa, Card or Bank — type the cash received, and press Record deposit.
  6. A deposit slip prints (DEP-…). Give it to the customer: it is their proof to get the deposit back.

Customer can’t pay the deposit right now? Press Later. The deposit waits at the counter: in New + deposit an amber N pending deposits chip appears — tap it, pick the sale, and record the deposit when the customer pays. The Cylinders page lists them too.

Split payment is switched off while a deposit is waiting. Charge the gas in one method; take the deposit in the sheet.

Khata (credit) is never offered for a deposit.

Sell a cylinder

The customer buys the cylinder outright and keeps it. No deposit is taken and nothing needs to come back.

  1. Select Sell cylinder and tap the size.
  2. Two lines appear together: the gas and the cylinder. They move as a pair — remove one and both go.
  3. Charge as usual.

A size shows “No cylinder price set” until you type a cylinder price for it in LPG kit settings.

Licensed filling points only

Fill by kg

The customer’s own cylinder is filled on the scale — by rupees (“Rs 2,000 of gas”) or by weight (“2 kg”) — at today’s rate. This is only allowed at OGRA-licensed filling points, so the button appears only after the owner types the filling licence number and turns on Fill by kg in LPG kit settings. The licence then prints on every receipt.

Fill by kg: the customer wants Rs 2,000 which equals 7.41 kg at Rs 270 per kg; a scale guide shows the empty weight, the gross weight to stop at, and the live scale reading.
By rupees on the left, the scale guide in the middle. Sample figures.
  1. Choose By rupees or By kg and type the amount, or tap a quick chip (Rs 500, Rs 1,000, Rs 2,000, 2 kg, 5 kg).
  2. Under Customer’s cylinder, pick its size. The fill can never go past what that cylinder holds — if the amount is more, the screen caps it and shows the price actually charged.
  3. Type the stamped tare (the empty weight on the cylinder collar). The screen shows Stop filling at — the gross weight to stop at.
  4. Fill until the scale reads that number, then Charge. The receipt prints the net kilos and the rate.

Never fill past a cylinder’s rated capacity. Refuse condemned, dented or rusted cylinders, and any cylinder without a readable tare stamp.

Manager PIN

Deposit return

The customer brings the cylinder back; you give back the deposit — in cash, as credit on their account, or by JazzCash. The empty goes back into your stock.

Deposit return: the cashier searched Saima, picked Saima Khan who holds one 11.8 kg cylinder, marked it damaged with a Rs 1,500 deduction for a damaged valve, and the refund is Rs 9,000.
A damaged cylinder with a deduction. Sample figures.
  1. Select Deposit return and search the customer by name or phone. Every customer holding cylinders is listed with the deposit they paid.
  2. Pick the customer, then check the cylinder: Good · full refund or Damaged · deduct. For damage, type the deduction and the reason — the reason prints on the slip.
  3. Choose Refund as: Cash, Account credit or JazzCash.
  4. A manager enters their PIN, then press Refund Rs …. A refund slip (RFD-…) prints for the customer to sign.

Every deposit refund needs a manager PIN — cash, account credit and JazzCash alike, the same rule as product returns. A cashier login without refund permission sees “Needs refund permission — ask a manager”.

Receipts and slips

Your usual receipt printer prints everything. LPG receipts add what an LPG customer expects to see.

Owner · each OGRA notice

Today’s rate

One number sets every refill price. When OGRA notifies a new price, change your rate once and every size, on every till, the storefront and WhatsApp orders, updates together.

Today's rate page: OGRA notified Rs 258.65 per kg, your selling rate Rs 270, a table of what changes for each size, and an Update 4 prices button.
Dashboard → Today’s rate. Sample figures.
  1. Open Today’s rate in the dashboard menu. The dark card shows the OGRA notified price for the month; Use OGRA rate copies it.
  2. Type your selling rate per kg. Keep Round prices to the nearest Rs 1 ticked so prices land on whole rupees.
  3. Read What changes when you apply — old price, new price and the difference for each size.
  4. Press Update N prices. Orders already placed keep the price they were placed at; deposits and accessory prices don’t change.

Cylinders and the plant

The Cylinders page counts every cylinder you own: filled in the shop, empty in the shop, at the filling plant, and with customers on deposit.

Cylinders page: 44 filled, 18 empty, 24 at plant, 137 with customers; a table by size; and a list of customers holding cylinders with refill reminders.
Dashboard → Cylinders, for one branch. Sample figures.
  1. Send empties to plant when the truck leaves: type how many of each size. They move from “Empty” to “At plant”.
  2. Receive filled when the truck comes back: type what arrived (and the cost per cylinder if you track it). They move from “At plant” to “Filled”.
  3. Watch the warning under the table — it names any size below its reorder level.
  4. Customers holding cylinders shows who has your cylinders, the deposit held, and Reminder due when a regular refill is late — a good list to call or message.

Each customer’s profile also shows the cylinders they hold and their deposit, next to their orders.

Shift, phone, and when the internet drops

The LPG counter on a phone: mode chips in a row, size tiles two across, the weight check and accessories, and a bottom bar with the cart and Charge.
On a phone.

Shift and reports

Open the shift as usual. More ▾ in the header holds Close shift, the X and Z reports, Cash drop, Expenses and Find order. Deposits you take in cash are counted in the drawer as cash in; they are not sales, so they don’t raise your sales total or tax.

On a phone

Same five jobs: the modes become a row of chips, sizes sit two across, and the order and Charge live in the bottom bar.

No internet

Refills, cylinder sales and fills keep working and are sent the moment the connection is back. Deposits and deposit returns need internet — their buttons say so. If the till starts while offline, it uses the last saved rate and stock and marks them “offline”, so check the rate before a big sale.

Troubleshooting

Quick answers

I can’t change the POS style in settings.

That’s intended. While the LPG kit is on, every till uses the LPG counter. POS Line support can switch the kit off, and your previous style comes back.

“Add the customer first — a deposit needs a name and phone.”

New cylinders on deposit always need a customer. Add them in the order panel, then charge again.

“This sale belongs to … — take the deposit for them.”

A pending deposit belongs to the customer on that sale. Attach that same customer (the row shows their name and the last digits of their phone) and record it again.

The deposit sheet said it couldn’t reach the server.

Press the button again. It is safe: the same deposit or refund is never recorded twice, even if the first try actually went through.

I don’t see Fill by kg.

The owner must type the OGRA filling licence number and turn on Fill by kg in LPG kit settings. Without a filling licence, filling by kilo isn’t allowed.

A size tile is missing.

That size was switched off in LPG kit settings. Customers who hold one can still return it.

A customer returned a new cylinder the same day.

Use the normal return on the sale. If the deposit was not taken yet, it drops off the pending list by itself. If it was already taken, also do a Deposit return to give it back.

Someone smells gas at the counter.

Turn the regulator off, open doors and windows, don’t touch switches or light anything, and move people away. Call the emergency services if the smell doesn’t fade.
